About Anomaly Advisors

Anomaly Advisors ("we," "us," or "our") provides home energy efficiency assessment and consulting services in Michigan. This Privacy Policy explains how we collect, use, and protect your personal information when you interact with us by phone, email, or through our customer portal.

Information We Collect

We collect the following information when you contact us or use our services:

• Name, email address, and phone number
• Property address and city
• Home energy and utility information you provide during screening
• Documents you upload to your project portal (utility bills, program approval emails, photos)
• Call recordings and transcripts from phone screening calls
• If you tell us you would like help with the online process, the name and phone number of the person assisting you

We collect this information when you call us, email us, or submit a screening form — either at portal.anomalyadvisors.com/screening or on one of our partner marketing websites.

How We Use Your Information

We use your information to:

• Determine eligibility for Michigan home energy efficiency programs
• Create and manage your project in our system
• Schedule and coordinate home energy assessments
• Send you project updates, appointment reminders, and rebate information
• Provide access to your customer project portal
• Comply with program requirements and reporting obligations

SMS Text Messaging

We may send you SMS text messages containing a link to access your customer project portal, appointment reminders, and project status updates. You consent to receive SMS messages in one of the following ways:

• By submitting the screening form at portal.anomalyadvisors.com/screening and providing your mobile number
• By submitting a screening or intake form on one of our partner marketing websites, including michiganhomeupgrades.com, and providing your mobile number
• By verbally confirming during a phone call with our team or AI screening agent that you wish to receive a text message

You will not receive SMS messages without first providing consent through one of the methods above.

Message frequency varies by project — typically 2–5 messages per project for portal access, appointment reminders, and status updates. Message and data rates may apply.

We do not share, sell, or transfer your mobile phone number to third parties or affiliates for marketing or promotional purposes. Your mobile number is used solely to deliver project-related communications from Anomaly Advisors.

Data Storage and Security

Your information is stored securely in our project management system hosted on Vercel infrastructure. Documents you upload are stored in Google Drive. We do not sell, rent, or share your personal information with third parties except as required to deliver our services or comply with legal obligations. We do not share mobile phone numbers with third parties for marketing purposes.

Service Providers

We use the following providers to operate our services. Each receives only the information needed for its function, and none are permitted to use your data for their own marketing:

• Vercel — hosting for our portal and database
• Google (Drive, Calendar, Sign-In) — document storage, appointment scheduling, and staff sign-in
• Resend — delivery of the emails we send you
• Twilio — delivery of SMS text messages
• Retell AI — the AI agent that answers and transcribes screening phone calls
• Anthropic — AI processing of call transcripts, emails, and uploaded documents to determine eligibility and check that documents are readable and complete
• Stripe — payment processing, where a payment is required
• Docuseal — electronic signature collection
• Snugg Pro — the energy modeling software used to produce your assessment report

Content you send us — including call transcripts and uploaded documents — is processed by these AI providers to operate our services. It is not used to train their models.

How Long We Keep Your Information

We keep project records for as long as needed to deliver our services and to meet program reporting and recordkeeping obligations. Specifically:

• Inactive projects are archived, not deleted. A project with no document activity for 28 days, a project waiting on scheduling with no response for 15 days, or a lead waiting on program approval for 90 days is automatically set aside. The record and its documents are retained so we can resume if you come back to us.
• Screening answers are retained even when you are not eligible. If a screening form tells you that you do not qualify, we still keep your name, contact details, and the answers you gave, so that we have an accurate record if you contact us about it or apply again later.
• Call recordings, transcripts, messages, and uploaded documents are retained for the life of the project record.
• We do not currently operate an automatic deletion schedule. Records are removed on request — see Your Rights below.

You may request access to, correction of, or deletion of your personal information at any time by contacting us at the information below.
